How to create and manage guest lists

On PromoTix, you can use the Guest List tab to organize different lists, manage your guests, and send out free ("comp") tickets. This can be useful for volunteers, artists, journalists, and more. Follow this guide to start using the Guest List tool.

NOTE: you can also use the Guest List tool on the PromoTix Organizer mobile app. For the purposes of this tutorial, we will be using the PromoTix web application.

1. After selecting your event, click on the "Guest List" tab

Go to guest list2. On the Guest List screen, click on "New Guest List"

Click on the "New Guest List" button to create your first guest list for this event. Note that you can create as many guest lists as you would like (for example, one list for "Artist Guest Passes," another list for "Sponsor Guest Passes," etc.)

3. Name your new guest list, then select "Add Guest" or "Save"

Enter in a name for your guest list. Once you're done, if you would like to add a guest now click on "Add Guest," and if you would simply like to save your list, click on "Save." You can always add guests later.

4. Add a guest to your newly created list

In order to add a guest, please fill out the following information:

  • Select which guest list to save the guest to
  • Guest first name and last name
  • Guest email address (this is how your guest will receive their tickets)
  • Select ticket(s) to send to the guest for free
  • "Notification upon arrival" setting (if this is turned on, then you will receive a notification and an email once the guest has been checked in)
  • "Ticket Delivery" setting (if "Email" is selected, then your guest will receive their tickets instantly in their email inbox. If "Will Call" is selected, then they will not receive any tickets in their email inbox, and they will need to check in with you during the event)

Once you're done, click on the "Save" button to create your guest and issue their tickets to them.

5. Manage your lists and guests

From your guest list tab, you can always come back to manage your existing guests and guest lists.

  • A👉Create a new guest list
  • B👉 Add a new guest
  • C👉 Use this drop-down to edit or delete a list, or to add a new guest to that list.
  • D👉 Use this drop-down to edit a guest's information or remove them from the list.
